Privacy Policy

Overview

MyVisitAgenda is a product of MediSimplify, Inc. It runs primarily in your browser and is intended to help you prepare for medical appointments by organizing your health concerns into a structured agenda.

We only collect what is necessary to provide the Service. We do not sell your information, and we do not use it for advertising.

What we collect and how it’s used

Voice recordings

When you use the microphone feature, audio is captured in your browser and processed by a speech-to-text service to produce a text transcript. If your browser supports the Web Speech API, speech may be processed by your browser or browser vendor under its privacy policy. If your browser does not support that feature, audio is sent over an encrypted connection to a third-party transcription service and is not stored after transcription completes.

Health-related text

The concerns, symptoms, goals, and notes you type or dictate are sent to an AI service to help organize and refine your visit agenda. We do not maintain a user-facing database of your health notes. However, as part of normal AI service operations, the text you submit — along with the AI’s response — is logged to secure cloud storage and automatically deleted after 90 days.

Infrastructure access logs

Our hosting infrastructure automatically records standard access logs (IP address, request path, timestamp, response code). These logs do not contain your health notes and are used for security and performance monitoring.

No accounts, no cookies, no analytics

MyVisitAgenda does not require an account. We do not use cookies for tracking or advertising. We do not use analytics tools for tracking user behavior or advertising. The agenda you generate is downloaded directly to your device — we do not retain a copy.

Data retention

Your health information exists only in your browser session. When you close or refresh the page, that data is gone from your browser. AI invocation logs (which contain the text you submitted and the AI’s response) are stored in secure cloud storage and automatically deleted after 90 days. Infrastructure access logs are retained for up to 3 months.

Third-party services

We use third-party cloud infrastructure providers for hosting, voice transcription, and AI processing. These services receive only what is necessary to function (e.g., audio for transcription, text for AI processing). We do not share your information with advertisers, data brokers, or any other third parties.

HIPAA

MyVisitAgenda is not a “covered entity” or “business associate” under HIPAA and is not required to comply with HIPAA’s privacy or security rules. It is a personal consumer tool, not a healthcare provider portal or regulated medical records system. Even so, we treat the health-related information you enter as sensitive and only collect what is necessary to provide the Service.

Do not use MyVisitAgenda to store information you are required to protect under HIPAA or similar regulations. For example, do not use this tool to store or transmit protected health information on behalf of a healthcare provider or organization.

Children’s privacy

MyVisitAgenda is not intended for children under 13. We do not knowingly collect personal information from children under 13. If you are under 18, you should use the Service only with parental permission.

If you believe a child under 13 has used the Service, contact us at support@medisimplify-ai.com and we will investigate. Because we do not collect identifying information, we cannot guarantee we can isolate data specific to a particular child, but we will make reasonable efforts to address the concern, which may include purging relevant service logs.

Availability

The Service is not intended for use outside the United States, and we may restrict access from other jurisdictions.

California residents (CCPA)

We do not sell your personal information and do not share it for cross-context behavioral advertising. California residents may have the right to know what information we hold and to request deletion. Because we do not maintain a database of user health data, most of your information is automatically gone after your session ends. Security

We use reasonable administrative, technical, and organizational safeguards to protect your information, including encryption in transit. However, no system is 100% secure and we cannot guarantee absolute security.

Business transfers

If MediSimplify, Inc. is involved in a merger, acquisition, or sale of assets, your information may be transferred subject to the commitments in this Privacy Policy. We will post notice of any such change on our website.

Disclaimers

MyVisitAgenda is not a medical device and does not provide medical advice. It is a personal preparation tool. Always consult your healthcare provider for medical guidance.

Changes to this policy

We may update this policy from time to time. If we make material changes, we will update the “Last updated” date above. Continued use of the Service after changes are posted constitutes acceptance of the updated policy.
